As a Front Office Coordinator, you’ll ensure all patients make appointments 100% of the time without having to call back at a later date, work as a team to maintain an arrival rate of 90% or greater, call new patients within 24 hours to schedule initial evaluations, enter patient data with 95% accuracy, answer incoming calls within 3 rings, collect 100% on co-pays or input an acceptable reason, verify insurance and obtain authorizations prior to patient arrival and greet all scheduled patients by name and with eye contact.

You will provide input to create a pleasant team atmosphere that will emphasize service, friendliness and customer satisfaction and the patients will rave about what “fun” they had while being treated at our facility. Two years from now we’ll look back and you will be a key hero who helped transform our business.

Duties: SUCCESS FACTOR SNAPSHOT
1.1 All new patients are contacted within 4
business hours of receipt of prescription via
fax. All new patients are scheduled within 48
hours of first contact (unless by their choice or
if prescription is received prior to surgery
date); if unable, Director must be notified.
1.2 Front door collections at 100% or input an
acceptable reason why not
1.3 Ensure all patients make appointments 98% of
the time (unless discharged that day) without
having to call back at a later date
1.4 Answer incoming calls within 3 rings with a
friendly tone of voice
1.5 Work as a team to maintain an arrival rate of
90% or greater
1.6 Enter patient data with 95% accuracy
1.7 Verify insurance and obtain authorizations
prior to patient arrival
1.8 Greet all scheduled patients by name and with
eye contact


ROLES AND RESPONSIBILITIES

2.1 Greet all visitors with a smile. Addresses them by name or asks for their name.
2.2 Answer all incoming calls with a friendly tone of voice and a smile.
2.3 Confidently answer inquiry calls about the clinic and what it has to offer.
2.4 Route calls appropriately.
2.5 Keep waiting room in a neat and orderly fashion.
2.6 Maintain a professional appearance during business hours.
2.7 Maintain excellent internal communication
2.8 Maintain excellent external communication
2.9 Confidently assists patients.
2.10 Collect money from patients due ProActive Physical Therapy Centers (this does not include collecting from insurance companies)
2.10.1 Collects all patient co-payments, deductibles and payments.
2.10.2 Reconcile collected vs. day sheet vs. deposit with 100% accuracy.
2.11 Promote the value of ProActive Physical Therapy Centers services
2.12 Maintain schedule.
2.12.1 Schedule patients
2.12.2 Enforce patient compliance to scheduled appointments.
2.12.3 Insure patients arrive as scheduled
2.13 Check in patients. Makes sure PT flag is flipped and patients begin care within five (5) minutes of scheduled appointment time. Responsible to notify treating therapist if patient has not been communicated with during this time frame.
2.14 Maintain patient confidentiality
2.15 Handle Administrative tasks
2.15.1 Register patients.
2.15.2 Verify and Authorize Insurance
2.15.3 Prepare the New Patients’ charts.
2.15.4 Enter data without error
2.15.5 Review completed paper work, ensures that all required information is provided.
2.15.6 Perform secretarial / Front Office Coordinator tasks related to the Clinic’s operation as directed by the Clinic Director
2.15.7 Provide secretarial services for the professional staff if required
2.15.8 Prepare, organize and coordinate charts.
2.15.9 Record daily and weekly stats.
2.15.10 Proficient with basic computer, fax, copier and telephone operation.
2.15.11 Word-process all necessary documents.
Qualifications:<> Ideal candidate will have experience working in a medical/dental practice
